THE BACKGROUND
We are seeking a highly organized and experienced professional to join our team as a Back-Office Support. The successful candidate will be responsible for providing administrative support to the team, managing framework contracts, and ensuring seamless communication with clients and stakeholders. YOUR TEAM
You will be joining the Consortium Back Office team, a team composed of 9 professionals providing administrative support.
The team is characterized by a strong team spirit, good collaboration, and a positive working atmosphere.
YOUR MISSION
As a Back-Office Officer your responsibilities will be as follows:
Framework Management: Manage and maintain around 30 framework contracts, ensuring timely follow-up of the new demands.
Administrative Support: Assist the team with administrative tasks, such as data entry, document management, and mail handling.
Request Management: Handle requests from the Commission and recruitment demands, ensuring prompt and efficient processing.
Email Management: Manage incoming emails, respond to customer inquiries, and ensure timely follow-up on pending matters.
Offer Tracking: Monitor and track offers, ensuring accurate record-keeping and reporting.
Process Management: Dispatch demands, collect information, and answer customer queries within established deadlines, while respecting the recruitment process.
Dual Platform Management: Work efficiently on two different platforms/portals, adapting to changing systems and processes.

Job requirements
YOUR PROFILE
Proven experience in a similar back-office position.
Proven experience working in a complex environment with multiple tools and systems.
Experience working for the EU or a similar organization is an asset.
Ability to handle high volumes of work, prioritize tasks, and meet deadlines.
Strong administrative skills, with expertise in Excel (must), CRM and/or workflow management tools (WFT).
Autonomous and proactive approach, with excellent time management and organizational skills.
Team player with strong communication and interpersonal skills.
Fluency in English is a must; proficiency in French and Dutch is an advantage.

Ability to work under pressure and meet tight deadlines.
Strong attention to detail and accuracy.
