For our customer based in Warsaw, Poland - an European Institution, we are looking for a Technical Writer based in Poland to join a long-term mission in the area of cybersecurity, public sector and law enforcement. You will be responsible for supporting the IRMA 2.0 project and related SharePoint-based applications, producing high-quality technical documentation that enhances user experience, supports operational modules, and ensures consistency across all project materials.

What is the project you’ll be working on?

IRMA is a secure online platform used for content sharing, communication, and statistical data collection. It supports operational modules such as FAR Charter Flights (FAR CF) and FAR Scheduled Flights (FAR RSF). The IRMA 2.0 initiative aims to consolidate and enhance these modules into a coherent, user-friendly system that supports ECRET’s operational activities. Sub-projects include Access Management, Content Management, Encryption Scheme, Identification Missions, and Grants Management. The project’s key goals include improved user satisfaction, streamlined access and system logic, automated reporting, and reduced effort in return operation management.

For the needs of the client, you need be based in the area of Warsaw (~2 hours by ground transportation), and you will have the flexibility to work on hybrid mode (up to 5 times a month in the office).

More specifically, you will be responsible for…

  • Delivering structured, user-focused documentation for IRMA 2.0 and related systems.

  • Ensuring consistency, clarity, and technical accuracy across all project materials.

  • Supporting other SharePoint-based initiatives as needed.

  • Conducting documentation needs analysis in collaboration with project managers, analysts, and technical leads.

  • Developing and maintaining a comprehensive Documentation Plan, including scope, format, audience, and delivery schedule.

  • Establishing and applying documentation standards, templates, and style guides.

  • Authoring, editing, and publishing technical and user-facing documents, including manuals, guides, requirements documents, and contextual online help.

  • Organizing and managing document libraries using metadata, content types, and versioning.

  • Creating visual aids such as screenshots and short video tutorials to enhance documentation.

  • Collaborating with SharePoint developers and stakeholders to ensure content accuracy and completeness.

  • Managing the documentation review and approval process, incorporating feedback efficiently.

  • Proofreading and editing materials from other team members for clarity and consistency.

  • Participating in project meetings and proactively gather information from technical and business teams.

  • Providing regular updates on documentation progress to the Project Manager.

  • Supporting other SharePoint-based applications related to IRMA 2.0 as required.

Job requirements

Are you the perfect match?

  • University degree (BSc/MSc).

  • Minimum 5 years of proven experience in writing technical documentation in ICT, including requirements specifications, project documentation, user guides, system manuals, and contextual online help.

  • Thorough knowledge of ICT terminology and concepts and understanding of software development technologies and their limitations.

  • Mastery of SharePoint and SharePoint-specific tools, with experience supporting SharePoint-based applications and environments.

  • Expert in determining documentation needs through collaboration with users, designers, developers, and engineers, with the ability to rapidly absorb technical information.

  • Proficient in graphical design, authoring tools, office automation software, and documentation platforms such as SharePoint and MOSS.

  • Experience in developing document management policies, standards, and frameworks.

  • Skilled in creating and delivering presentations and training materials for diverse audiences.

  • Ability to recommend, configure, and maintain tools supporting documentation development (e.g., Wikis, SharePoint libraries).

  • High attention to detail and commitment to quality in content and formatting.

  • Good knowledge of technical documentation standards and frameworks.
